When this playbook applies

The three things we need. Nothing more.

This playbook is for ordinary consumer returns — the kind you initiate, not a damaged-in-transit claim. If something arrived broken, jump to the damage report and include a photo.

  • A recent order

    Still inside the merchant’s return window (typically 15–90 days from delivery).

  • A receipt or order confirmation

    We use it to find the right RMA portal, pull the SKU, and check restocking fees.

  • A reason, even a short one

    “doesn’t fit,” “changed my mind,” “better price elsewhere.” A note is enough.

Step 0 · Check your deadline

The math, in one box. No API call.

The number that matters is the merchant’s return window on your receipt — it determines the ship-by date below. If the window has already closed, the label shows in red and we’ll still try, but with worse odds.

The ship-by date is purchase date + (window − 3 days) — a 3-day cushion for carrier pickup + drop-off transit. Adjust the window field if your receipt says something other than 30/60/90.

After the deadline check

The four steps after you forward.

Once Handfast opens the return task in your inbox, we run these four steps in order. You approve at each handoff — we never ship or chargeback without a tap.

    Repack in the original box when you can

    Use the original packaging (or a comparable snug box). Tape it shut, drop the receipt back inside, and remove or cover the old shipping label so the carrier doesn’t mis-route the parcel.

    Tip: a clear plastic bag protects the box from rain if you’re walking it to a drop-off point.

    Print the prepaid return label

    Most retailers email a label when you forward the order email to us — we attach it to the inbox task. If there is no prepaid label, we print a USPS/UPS/FedEx label at cost and bill it to your card on file.

    Print on plain paper, tape it flat over the original label, and snap a photo once it’s on.

    Drop it off (or schedule a pickup)

    Hand it to the carrier counter at any participating location, or schedule a home pickup from the carrier’s site. Don’t ship from your own account — the tracking won’t tie back to the merchant.

    Carriers we use most: USPS (any Post Office), FedEx (Office, Walmart), UPS (Store, Staples).

  4. 4

    Watch the tracking — we handle the rest

    Once the package is scanned, we wait for delivery, then chase the merchant until the refund posts to the original payment method. Closed-loop tasks finish when the refund lands.

    If the refund stalls past 7 business days after delivery, we open a chargeback case.
